Kwantlen Polytechnic University has an exciting opportunity for a full time Executive Assistant in support of the Associate Vice President, Human Resources. The Executive Assistant performs a wide variety of complex and confidential administrative duties and has a strong communication role in support of the business functions of Human Resources.
The Executive Assistant will be responsible for maintaining appointment schedules, responding to written and verbal requests, as well as maintaining a communication link across the institution and with external organizations on a variety of legal and human resources related matters. The Executive Assistant will also assist in budget development and will be responsible for monitoring budget expenditures. The successful incumbent will produce a wide variety of correspondence including letters, memos, organizational charts, reports, spreadsheets, meeting agendas and minutes; and will also be responsible for making travel and accommodation arrangements. These documents are frequently of a highly confidential nature including correspondence related to issues of significance to the University. Other duties will include assisting with ongoing and ad hoc projects and events, budget development and maintenance, updating the Human Resources website, creating and maintaining departmental databases, and will be additional administrative support during collective bargaining as needed.
This position is located on our Langley Campus and the ability to travel to all of our campuses will be required.
Minimum qualifications for this position include at least 5 years of recent related experience in a complex administrative support role, experience in a communications field is desirable. Experience with managing budgets is required. A Bachelor’s degree in a relevant field is preferred. We are looking for an enthusiastic, energetic, self-motivated individual that is able to take tasks on and run with it. The successful candidate will demonstrate excellent verbal and written communication skills, the ability to problem solve, and will possess a high level of personal ethics, professionalism and discretion when dealing with sensitive and confidential information. Sound organizational and decision making skills are required as the incumbent must be able to determine priorities and manage multiple tasks with minimal supervision in a complex and fast-paced environment. Demonstrated advanced knowledge and experience with word processing, spreadsheet, database, organization chart and presentation software.
