Paediatric Speech Pathology Clinic (Receptionist/Admin)

We are looking for a part time receptionist/administrative assistant to join our team at our beautiful speech pathology office. We strive to provide the highest quality care for our children with speech and language needs. At the clinic, we provide a loving, caring, supportive, and energetic environment for our speech pathologists and office staff.

The successful candidate must have excellent verbal and written communication skills. Having Cantonese and Mandarin skills is a strong asset. Our receptionist must demonstrate a friendly and positive attitude, demonstrating excellent customer service skills and communication, show compassion for children and their families. Organized and detail oriented. We are looking for someone organized, flexible and willing to learn and grow with our company.

Job responsibilities include (but not limited to):

  • General reception duties, including answering phone calls, following up with clients, sending email correspondences, sending invoices/receipts, receiving client payments, scheduling appointments, insurance billing, maintaining tidiness in the office
  • Review of day sheets and receivables to ensure consistency and daily settlement & reconciliation
  • Administration of online scheduling and billing software (OWL clinic software)
  • Coordination with clinicians regarding appointments and patient coverage
  • Providing assistance with scanning and uploading documents onto our clinical software
  • Assist in development of newsletters, taking minutes at meetings and updating clinic workflow as needed
  • Administrative assistance in the clinic

(Training will be provided.)

Requirements

  • Experience working in administration
  • Experience delivering exceptional customer service and empathy for clients
  • A positive disposition with excellent communication skills, both written and verbal
  • Having Chinese (Mandarin and/or Cantonese) is a strong asset
  • Exceptional interpersonal skills and a collaborative work style
  • Versatility and proficiency with a wide variety of computer applications (MS Office, Excel, social media platforms, etc.)
  • The ability to look at situations from several points of view to understand the perspective of the client, clinician, or staff before drawing conclusions or taking action
  • Open to direction and a collaborative work style

Assets

  • Fluent in English, Mandarin and Cantonese

Hours of Work

  • Part time, 2-3 days a week.

Renumeration

  • $15.00 to $18.00 depending upon experience
