The Administrative Assistant – Legal for Finning Canada plays a key role in providing administrative support and day to day departmental functions. You will support each of Finning’s lawyers in providing professional legal services to Finning (Canada), Finning International Inc. and various subsidiaries and affiliates.

You have the ability to adapt to a changing environment complimented with personal drive, resourcefulness and sound business judgment. You thrive in an extremely busy environment and you are known to have top notch prioritizing skills.

You are an experienced administrative assistant that has ideally worked with lawyers. You are also known as a solid communicator that brings a professional “get it done” attitude.

Job Description:
Provide legal administrative support to Finning Canada’s legal team
System administrator for legal department’s workflow management software
Manage and create legal service requests
Management and organization of department’s legal files, daily correspondence etc.
Preparation of standard form documents
Responsible for payment of all supplier invoices, including all external legal accounts
Routine administrative matters including scheduling, managing calendars, processing expenses, booking travel etc.
Provide support to the General Counsel and Corporate Secretary of Finning International
Preparation and maintenance of quarterly reporting
Ensure that the Legal department is effectively and professionally managed and that day to day functions are completed professionally, timely and accurately and supports Finning (Canada)’s and Finning International’s business and operational objectives
Represent Finning and the Legal Department in a professional and ethical manner and maintain effective relationships with all internal and external stakeholders, while maintaining confidentiality
Other tasks or projects as assigned from time to time

Qualifications

Post-Secondary Diploma in legal/office administration, paralegal or other appropriate field
3- 7 years of prior experience in a senior administrative, legal administrative, executive or managerial office position
Solid computer skills and be proficient in Microsoft Office applications
Must be a self-starter and able to deliver results
Strong organizational, problem solving and follow-up skills. Strong attention to detail
Exceptional verbal, written, interpersonal and presentation skills.
Ability to prioritize and manage multiple responsibilities with minimal supervision
