As Legal and Administrative Coordinator, your primary function will be to plan, organize, coordinate and control all administrative procedures, activities and documentation for the office of the Executive Director, Legal Affairs, Labour Relations and Employment Law, with Legal Services in Montreal.
More specifically, you will:
Coordinate office activities and establish priorities and urgent tasks primarily for the Executive Director, but also for legal counsel in Montreal and Toronto.
Ensure efficient administration of legal matter budgets.
Coordinate and ensure dissemination of information to senior management about lawsuits brought against the Corporation or any other matter.
Coordinate all activities involved in managing the various stages of legal matters.
Coordinate administrative work associated with investigation reports.
Handle highly confidential and sensitive documents relating to legal matters (lawsuits, agreements, contracts, etc.) and perform a variety of complex administrative tasks (contracts with external firms and consultants, access-to-information requests, etc.).
Occasionally coordinate the work of legal assistants.
You will also:
Provide assistance throughout all stages of legal matters, and gather basic data to facilitate responses to inquiries.
Prepare, send and follow up on all procedures and case documents with the parties involved, including serving and filing with the Court as well as ensuring that deadlines are met.
Maintain agendas; arrange meetings, travel and conference calls; and fill out expense accounts.
Type up, format, edit and carefully proofread a variety of documents, as well as perform any task related to the position.
We are looking for a candidate with the following:
Community college diploma (ACS or DCS) in legal secretarial or paralegal studies, or the equivalent.
A minimum of five (5) years’ relevant experience in a similar position.
Very good knowledge of the Windows environment, MS Office (Word, Excel, PowerPoint), and Google Suite.
Superior French-language skills (spoken and written).
Good knowledge of English (spoken and written).
Excellent communication and interpersonal skills.
Tact, diplomacy, and ability to maintain high levels confidentiality essential.
Ability to comprehend and act on complex, sensitive matters.
Excellent organizational skills and ability to handle stress.
Ability to take initiative, be highly efficient, and work with minimal supervision.
Ability to be flexible and adapt to a diversified work environment.
