About the opportunity:
This position is responsible for assisting in the full operation of the Mortgage Administration in the Prairie Office located in Calgary, Alberta.

The position performs all aspects of mortgage administration within the regional office; arranges for all required documentation and funding of loans administered by the office, and assists in the day-to-day administration of those loans.

About the day-to-day:
New Loans:
Mortgage Static Data input for new clients, new loans, modifications, assumptions, renewals, new loans, banking information, diaries and checklists
Ensure all mortgage reports and related documents; insurance review, prefunding conditions, financials are accurate and reflect all terms and conditions detailed in the Loan Summary, CMHC COI and commitment letter, and are received in a timely manner
Instruct the Solicitors, and Insurance Consultants and review draft documents
Calculate and process mortgage advances for CMHC and conventional single advance and multi-advance construction loans, ensuring all requirements are met prior to funding. Requisition mortgage funds within established policy. Mortgage file management, including filing, completing of checklists, and scanning of documents for Head Office, ensuring Head Office has required documentation two days prior to funding date of loan
Liaise with various internal departments, as well as external; clients, solicitors, insurance consultants, CMHC, servicer partners & mortgage brokers regarding ongoing payments, security matters, diaries, insurance and prefunding reporting requirements
Responsible for maintaining a working knowledge of the Mortgage policies and procedures on the Portal, company policies and procedures, and the CMHC servicing manual

Renewals:
After approval and acceptance of renewal, Mortgage Administrator is responsible for inputting of renewal terms in the banking system, deposit of any fees or preparation of journal entries

Assumptions:
Update the banking system with assumption information provided by the underwriting area of the Branch. Review assumption documentation for compliance with approval and accuracy of documentation as directed by the Assistant Manager, Mortgage Administration or Manager, Mortgage Administration
Instruct the Solicitors, and Insurance Consultants and review draft documents

Deposits and Transaction Postings:
Preparation of daily deposit posting sheets, cheque requisitions and transaction postings, broker fees and completion of daily bank deposits

Payouts and Discharges:
Preparation of discharge statements, including subsequent confirmation of receipt of sufficient funds to fully repay; review of discharge documents and attending to execution, and closing out of Paid out files as directed by the Assistant Manager, Mortgage Administration or Manager, Mortgage Administration

Property Taxes:
Liaise with the HO Property Tax Administrator to ensure that property taxes, where on TIPPS program are paid in full on or before the due date. Follow-up on mortgages where the mortgagee is responsible for payment of property taxes on principal, interest and tax payments (PIT) on an annual basis to ensure full payment has been made as directed by the Assistant Manager, Mortgage Administration or Manager, Mortgage Administration

File Maintenance:
Learn about the tools available in Adobe to be able to arrange and upload digital information. Archive both digital and physical files as needed

Reports:
Ensuring accurate and timely updating of the banking system and completion and follow up of PPSA expiries, out of order report, loan arrears report, branch funding/payout report, non-sufficient funds (NSF) report, interest billings, loan diary reports (ACT, AR, LIE, LIF, LII, LR, SRT, STC), and insurance cancellations, annual reporting as directed by Assistant Manager, Mortgage Administration or Manager, Mortgage Administration
Assist with collection of delinquent mortgages

Statements:
Prepare client statements as required. Provide prompt courteous service to all client enquiries
Prepares the loan statements for; payouts, penalties, bank confirmations, annual mortgage statements and discharges

Cross Training with Underwriting Assistant:
Maintain a working knowledge of general underwriting support staff duties and assists with; drafting amendments, obtaining pre-funding conditions, AML information, financial statements, pulling searches (corporate, credit bureaus, titles, taxes) and where applicable writing and issuing assumption letters, commitment letters, and renewal letters agreements
Assist with arranging courier services, bank deposits, supply orders, and petty cash
