The position
With exciting growth, expansion and internal promotions, we are searching for a new team member located in our Victoria, BC office. Reporting to the Senior Manager, People & Operations, the Administrative Coordinator is an integral part of the Passive House team providing support services to all team members across Canada, as well as information to our members and external stakeholders. They respond to member inquiries, course registrations and support with social media and marketing materials. As the first point of contact through online, telephone and office reception area they are the welcome ‘face’ of the organization for information and support. This position provides many opportunities to be a part of special projects, events and continuous learning and knowledge about high performance buildings.

Knowledge of the Passive House Standard is not required but an interest in sustainable building and a passion for a greener future is necessary!


  • Providing administrative support to other staff including the preparation of documents, letters and spreadsheets.
  • Organizing and supporting meetings, including scheduling, room set up, A/V set up and taking minutes.
  • Support the education team with administrative tasks such as mailing orders and contacting existing and prospective students to provide course details.
  • Assisting the Manager of Member Services with communications, welcome packages, phone calls and directing members to appropriate resources.

Supporting the Communications Manager with marketing communication materials including social media and digital/online

  • Provide office reception services and ordering office supplies as required.
  • Participate in special projects when required to include funding/grant applications.
  • Assist People & Operations Manager with job postings, data entry and other

administrative tasks.

  • Assist other staff/volunteers as required including some off-site events from time to time.
  • Work effectively as a team member with other staff, volunteers and external partners
  • Work with the Company’s CRM system to manage data and run reports as required.
  • Become knowledgeable enough about high-performance buildings, quality assurances

systems and the Company’s CRM system to respond to member enquiries and enquiries
from others as appropriate.

  • Become familiar with and be able to articulate the economic, comfort, health and

environmental benefits of high-performance buildings.

  • Post-Secondary Training in Business/Office Administration or an equivalent combination

of training, education and experience.

  • Proficiency using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
  • Familiarity with use of social media platforms including Mailchimp, Hootsuite and other


  • Experience managing multiple tasks and attention to detail.
  • Excellent communication skills.
  • Ability to be a collaborative team player and establish and maintain positive working

relationships, both internally and externally.

  • Ability to multi-task.
  • Strong organizational and time management skills
  • Excellent analytical and problem-solving skills.
  • Strong work ethic, self-starter.
