Position Overview

The Taylor Institute for Teaching and Learning is currently seeking a Full-time Regular Program Specialist.

The Taylor Institute for Teaching and Learning is dedicated to better understanding and improving student learning, and the teaching approaches and practices that affect student learning. This two-pronged commitment puts both instructors and students at the centre of its work to engage in reflection, conversation, exploration, innovation, and research. The Institute thus promotes the teaching development of instructors, high-impact student experiences such as inquiry-based and experiential learning, and the scholarship of teaching and learning. The Taylor Institute's building was designed according to the values of transparency, collaboration, flexibility, and intention in teaching and learning. Its position at the centre of campus supports its work to facilitate conversations, build communities, link networks, and catalyze a culture of evidence-based teaching and learning across the University.

The candidate will be committed to shifting the University and the Taylor Institute culture to increase indigenous perspective and worldviews in teaching and learning practice. Experience supporting community dialogue and campus engagement, with universities, Indigenous communities and community stakeholders would be an asset.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Program Planning

Liaise with academic staff and specialists to plan, coordinate, and advise regarding Taylor Institute courses, certificates, and programs
Responsible for the coordination and administration of all teaching and learning programs developed across the Taylor Institute
Lead the scheduling, monitoring, delivery, documentation, evaluation and reporting on over 150 workshops per year
Lead the collection, communication with, and documentation on over 2,000 participant registrations per year
Lead the communication, collaboration, and documentation on over 45 facilitators per year
Collaborate with the Communications and Marketing Team to ensure that programming objectives and timelines are developed in accordance with required communications lead times and that program descriptions meet style guidelines.
Prepare for and attend resource fairs such as the New Academic Orientation and the New Graduate Student Orientation with the TI Communications and Event Coordinator
Collaborate with TI faculty and staff in the development and administration of Certificate Programs
Program Coordination and Scheduling

Create and streamline processes for scheduling workshops, document and evaluate these processes, and implement changes for continuous improvement
Coordinate external facilitators (typically UC faculty) related to TI courses and programming
Maintain accurate records (currently in MS Excel) on our workshops and our workshop facilitators, from workshop descriptions to durations and dates
Lead the monitoring and responding of email in the TI programming email account
Collaborate with TI Staff to continuously develop stream-lined registration
Be the "super user" for Destiny One course registration in the TI (i.e. uploading new course content, modifying descriptions, manually registering drop-in students)
Collaborate with UCalgary partners to ensure processes of scheduling workshops and collecting registrations meet university standards
Review and present our annual programming and work with TI staff and faculty to make recommendations for a balanced, exciting and worthwhile programming
Create, monitor and modify D2L sites and webforms related to TI programs as needed
Support and provide expertise to new initiatives in the Taylor Institute related to programming
Program Evaluation and Reporting

Responsible for quality assessment, enhancement and reporting related to TI programming
Responsible for the collection of all sign-in sheets, feedback and assessment data related to TI workshops, programs and events
Compile and summarize feedback and assessment data related to the TI programs (e.g. number of events, number of participants, workshop evaluation summaries) in order to help inform the continuous improvement and for reporting purposes (e.g. for the TI Annual Report)
As part of program evaluation processes, summarize suggestions for future development of programs and initiatives
Maintain accurate information and on-going data and file management related to relevant evaluation and descriptive data for TI programs and collaborate with the Communications and Marketing Team to include events-related data
Prepare an annual programming report (July) and a midterm report (December) which captures information on our workshops, participants and facilitators, and make annual comparisons to previous years to show growth
Provide programming data to the Communications and Marketing team for use in Taylor Institute Community Reports and other communications projects
Work continuously on streamlining our processes and creating more efficient and accurate methods of data collection and reporting
Work as a team with the TI Communications and Events Coordinator on some events as needed including the Teaching Assistant Orientation, Conference, retreats and guest speakers
Other duties as assigned by the Strategic Operations Manager

Qualifications / Requirements:
An undergraduate degree and 5 years of relevant experience with a clear progression in responsibility over time as well as demonstrated leadership in program management and evaluation is required.
Strong oral and written communication and interpersonal skills are required, in order to perform the many duties that require interaction and communication with a broad range of individuals, both in the Taylor Institute and across the University community
Highly developed computer and office skills, including word processing, spreadsheets, data management, data analysis and ability to manage website content are required. Additional assets include: ability to edit and add content to websites using Drupal as a web content manager; ability to access and leverage tools in PeopleSoft and Outlook; ability to manage site content in the campus learning management system (Desire2Learn) as well as Destiny One for course registration.
Leadership, self-motivation, self-direction and confidence in working independently and as part of a team are required. Demonstrated commitment to fostering a culture and that promotes continuous learning and improvement is considered an asset.
Experience at a post-secondary institution is an asset.
Personal initiative and a strong focus on collaboration and teamwork are required
The ability to perform comfortably in a fast paced, complex environment with multiple projects, and competing deadlines is required
Understanding of program planning, implementation, evaluation and reporting cycles is required
The ability to prioritize and determine effective deadlines is required
The ability to manage projects effectively is required
Willingness to participate in relevant training and development as necessary for carrying out duties and responsibilities is required
Understanding of the University and Taylor Institute context, culture, and operations is considered an asset, including a demonstrated ability to work effectively with a broad range of individuals, from the university administrators to faculty, staff, students and members of the general public
