Working under the general supervision and guidance of the Supervisor, Health Information/Records Management, this position provides operational administrative support for the Records Management section of Health Information Management. Within a team environment the incumbent is responsible for performing activities which directly support the security, maintenance and integrity of the patient record through the life cycle regardless of medium (electronic and/or paper). Essential functions of the position: receives all discharge records and performs reconciliation process. Performs verification on all documents prior to filing regardless of medium (paper/electronic) to ensure integrity of the patient record. Responsible for ER filing, OP and loose filing of diagnostic and treatment reports; sorting in terminal digit order with creation of new charts, as required. Filing of all patient records into permanent file. This position will support Connect Care activities with respect to Wave 3 by providing coverage to backfill staff to attend training, eLearning, work on modules and practice in the Connect Care PLY environment. May be required to train to assist with coverage for Administrative Support II positions in the department: Intake Desk and ED Scan/File Desk duties. Performs other duties as assigned.

Additional Required Qualifications:
Typing speed of 40 wpm required with testing prior to interview. Strong computer skills including proficiency with Microsoft Office programs (Word, Excel, and Outlook) required. Must be able to set and organize own work priorities and adapt to change. Must be able to work concurrently on a variety of tasks/projects in an environment that may be stressful with individuals having diverse personalities and work styles. Team player with demonstrated ability to work within a team environment, modeling behaviors that support and contribute positively to team operations and working relationships. Ability to work independently with minimal supervision. Must be physically able to perform duties involving standing, sitting, bending, reaching and stretching for extended periods of time. Must be able to lift/push/carry up to 50 lbs. and be able to push and pull charts out of mobile shelving. Performs all functions with a high degree of accuracy and maintains or exceeds established productivity standards. Post-secondary education applicable to position – MOA/Unit Clerk/Admitting Clerk preferred. One (1) year related experience in a hospital or medical office setting preferred. Experience with computer applications common to Health Records (eg. PCIS, VAX, Tandem, Netcare, PowerTrac, PowerMonitor, eCLINICIAN) is preferred. Experience working with a terminal digit filing system and ED scanning knowledge is preferred. Medical Terminology an asset.
