The administrative assistant provides academic and medical administrative support to assigned oncologist(s) in the Department of Oncology for their clinical, administrative, academic, and research duties. The administrative assistant performs complex and time critical duties, which require independent judgment and confidentiality, demonstrates initiative and the ability to work in and foster a healthy team environment is critical. Keen ability and willingness to learn in a fast paced and high stress environment. Ability to be flexible and prioritize between critical tasks. A collaborative team player who is willing to support and cover their colleagues’ desks, meeting the needs of our patients is priority. As the first point of contact to the surgeon’s office, the incumbent will be responsible for answering and responding to telephone calls in a compassionate and prompt manner. Superior patient care and responding in an empathetic manner to surgical patients is mandatory. Triage patient telephone calls to the appropriate area, booking surgeries, operating room time and other critical procedures as needed. Schedule and confirm patient appointments, surgeries and medical consultations with other specialist offices. Compose and type correspondence including medical and scientific material, transcribing reports and patient correspondence using medical terminology. Organize, and maintain daily physician calendars, arrange meetings and appointments. Prepare agendas, record and distribute minutes. Assist in preparation of grant applications, research protocols, exam scheduling and the surgical training program. Make travel arrangements and prepare expense claims. Prepare physicians’ CVs, Annual Reports, ability to use appropriate software applications for academic performance reporting. Maintain and organize filing systems for research material and patient files.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Additional Required Qualifications:
Minimum 3-5 years’ experience in an acute care, medical, academic role is required. Medical terminology is required. Ability to communicate effectively and have strong telephone manners and interpersonal skills. Accurate typing skills of 65 – 75 wpm. Good working Knowledge of Microsoft Office Suite.
Experience with ARIA, Sunrise Clinical Manager, Clinibase, and Millennium Scheduler would be an asset.
