Reporting to the Proposal Manager, the Proposal Specialist will work within a shared services team environment developing and preparing proposals in response to formal Requests for Proposals (RFPs) and informal requests for credentials documents in alignment with the Firm’s business strategies and revenue growth goals. The successful candidate is an excellent communicator with very strong attention to detail and a proven ability to prioritize and work within tight deadlines. This position could be based out of any of our Canadian Offices.
Conduct a thorough review and analysis of incoming request for proposals to understand the business requirements and strategically plan how to execute the creation of the response, working closely with the Business Development and Pricing Teams to provide lawyers with strategic guidance highlighting what sets Gowling WLG apart, leveraging our strengths to meet the needs of the client, and developing key win themes;
Respond to deadline driven RFPs across many services and jurisdictions, often acting as a team liaison and project manager of the entire proposal development process, including international bid requests and multi-party opportunities;
Develop proposals into a cohesive document or online response, ensuring that the proposal incorporates convincing content, is in alignment with firm brand standards and is in compliance with all requirements of the RFP or client request;
Lead all proposal production activities, including any printing, distribution and physical delivery of the document, or online submissions;
Continually update the proposal content database with completed responses to improve access to a data bank of content, improving the efficiency and the performance of subsequent requests for proposal and credentials responses;
Collaborate with the representative work team members to preserve any relevant work examples collected during the proposal development process;
Continually seek to develop improved proposal writing processes and ensure quality control of final submissions;
Act as a “subject matter expert” for Gowling WLG’s proposal processes and tools and provide formal and ad-hoc assistance to internal clients requesting proposal and pitch support and materials;
Participate in research initiatives related to proposals;
Maintain flexibility in managing and prioritizing workload to ensure responses can be addressed with short notice and outside of standard business hours as required;
Other duties as required that contribute to the firm, its clients and our team.
A post secondary education with a focus on Business, Communications, Project Management, or equivalent combination of education and relevant experience;
A minimum of 5 years experience in a similar role with a preference for experience in a legal or professional services environment;
Ability to thrive in a role that requires efficiency and focus, excellent decision making and conceptual skills, attention to communication detail as well as applying broader strategic perspectives;
Proven success in a global virtual work environment demanding strong interpersonal and organizational abilities with excellent leadership skills;
Ability to communicate effectively with other Firm members, with the aptitude to be highly responsive to internal clients’ needs in a professional and service-driven manner;
Capacity to work independently, as well as within a team environment;
Strong verbal and written communication skills combined with attention to detail;
Natural problem-solving and critical thinking skills;
Demonstrated strong ability to build relationships with stakeholders;
Ability to excel in a deadline-driven environment and the flexibility to work outside of regular business hours on short notice as needed in order to meet deadlines;
Strong working knowledge of Microsoft Office and database platforms.
