Our team in the Toronto office is seeking an experienced Receptionist/Administrative Assistant who has a positive attitude, a friendly demeanor and can perform a variety of administrative and reception duties.
Duties and Responsibilities
Performs administrative duties as required which may include overflow typing, data entry, filing and archiving of documents
Provides overflow administrative support to the office
Greets, announces and directs visitors to provide a professional corporate image and all guests entering the building are identified
Responds to all telephone and email inquiries in a prompt and courteous manner and provides direction as appropriate
Manages the bookings for meeting rooms and ensures rooms are presentable. Orders catering and prepares refreshments as needed
Ensures the reception and kitchen area neat and tidy and office and kitchen supplies are regularly replenished to support a productive working environment
Ensures all incoming mail and couriers are distributed and outgoing mail and couriers are prepared and sent out in a timely manner. Ensures that the stamp machine is in proper working order and contains sufficient postage credit
Coordinates with the facilities management to arrange for building/office services as needed
Performs other duties as required including maintaining attendance log, taxi chit distribution, and creating switchboard coverage schedule
Qualifications
Minimum High School diploma
Possess at least one year of reception/administration experience. Experience in a consulting environment is an asset
Is proficient in Microsoft Office, can produce reports, documents, and presentations
Possess excellent interpersonal, organization, and verbal and written communication skills
Demonstrates an ability to prioritize and adapt to differing assignments and deadlines
