What are we looking for?

We are currently looking for a dynamic and enthusiastic individual to fill the position of Sales Coordinator in our Whites Vancouver office. The Sales Coordinator supports the sales and operations teams in Vancouver across the lines of business by providing clerical and administrative support, inwardly with various parts of the organization and outwardly with clients, vendors and partners, with the goal of assisting in making sales and operational business activities as frictionless as possible for the people of Whites and those they interact with. This position reports to our General Manager, Whites Vancouver.

The main duties are as follows:

Sales Related:

  • Assist the Sales team with the Creation, Review, Publishing, Filing and Uploading of:
  • Proposal Letters, Quotes and Quote Summaries
  • Deal Memos
  • Internal and External Communication
  • Assist the Sales and CSR teams with building and maintaining information in Salesforce and other systems related to Vancouver including leads; notes; contact information; contact relationships; and show data.
  • Support the sales team with the coordination of client gifts, gift baskets and seasonal mass mail initiatives
  • Assist the Sales team with the coordination of smaller client events, including managing RSVP lists for
  • Annual client receptions
  • Open houses
  • Event tickets (hockey, soccer, etc.)
  • Assist with coordinating and gathering of post-production crew surveys
  • Assist with social media posts and data reporting


  • Support other administrative roles by:
  • Preparing, distributing, checking and filing/uploading Human Resources documentation as needed
  • Providing support to the Purchasing department by preparing, distributing and monitoring local purchase orders and other purchasing related duties
  • Provide, as part of a team, back up coverage for Reception.
  • Assist with other ad hoc projects as required
  • Other duties as assigned


  • Excellent written and verbal communication skills.
  • Superlative skillset in Microsoft Word and Excel.
  • Excellent skills in Outlook and entire Office Suite.
  • Previous experience using CRM (Microsoft/Salesforce).
  • Previous experience with collaborative online tools an asset.
  • Previous experience in an office administration role an asset.
  • Professional experience and/or education in public relations, marketing, and/or corporate communications an asset.
  • Must have strong organizational and interpersonal skills.
  • Must have excellent written and verbal communication skills.
  • Must have a strong level of attention to detail.
  • Must be able to work proactively both in a team and independently.
  • A basic understanding of accounting and accounting principles an asset.
  • Ability to handle multiple tasks in a deadline-oriented environment.
  • Ability to work well independently and in a team environment.
  • Must have a positive attitude.
