WSP E & I Canada Ltd. is hiring a Document Controller/ Project Administrator to join our team in Port Hope, Ontario. This position will report to the Quality Department.
The position is a full-time permanent position for a self-motivated, energetic, and organized individual to become trained in various aspects of our day-to-day operations related to document control, oversight of activities, resolving issues, reporting, team support, and other duties as assigned.

- Ensuring the document control function is being performed in accordance with corporate and project specific procedures and project requirements in a timely and efficient manner
- Maintain and updated on regular basis the document management procedure and filing and records procedures for the project
- Participate in setup and maintenance of project drives, SharePoint, etc.
- Communicating effectively with appropriate disciplines; including, providing ongoing updates on status of work
- Storing, securing, revising, retrieving, distributing, and archiving project documents on daily basis
- Perform documents formatting and quality checks before final issue.
- Tracking; tracking all manner of project statistics and information. Organize, save, and report information to managers and team members.
- Invoicing; works with the project coordinators on timecards.
- Prepares reports as requested by project management.
- Meetings; plans and organizes project meetings and events. Responsible for generating meeting notes
- Administrative; organization and administrative duties as required.
- Represents WSP to clients, subcontracts, suppliers, and other internal groups.
- 3+ years of progressive experience or more in a Document Control / administration position.
- Strong skills with MS Office Packages – Word, Excel (proven experience in generating templates; formatting, familiar with formulas in Excel, etc.)
- Related education with a College Diploma from an accredited university is considered an asset but not require.
