GROW YOUR CAREER WITH TRIOVEST AS A SENIOR PROPERTY ADMINISTRATOR
Reporting to the Property Manager, the successful candidate will fill full-time position of Senior Property Administrator at 2899 Broadmoor Blvd. This position is responsible for property management support and administrative functions related to a mixed-use portfolio including industrial, retail, and office.
WHAT WILL YOU BE DOING?
Working closely with the Property Manager, Assistant Property Manager and Building Operations to develop strong tenant relationships and supporting property management and building operating requirements.
Developing and maintaining relationships with tenants, contractors and clients.
Assisting the onsite maintenance team and liaising with tenants and service providers.
High involvement of annual budget, quarterly forecasting and quarterly reporting and support in preparation of Annual plans.
Processing invoices in a timely manner for payment including tenant charge backs.
Timely collection of tenant arrears with a sense of urgency to ensure minimal accounts receivables, communicate with Property Manager when problems arise.
Preparing monthly accrual listings for the portfolio and investigating accruals as needed.
Managing purchase orders for the portfolio and ensuring all Triovest guidelines are being met.
Coordinating tenant move-in and move-out – physical moves and documentation requirements.
The collection and maintenance of various records including Insurance Certificates and contact information and ensuring that they are up to date.
Drafting communication to tenants and clients in an articulate and concise manner.
Responsible for ensuring that all filing is maintained in a timely, professional and accurate manner.
Maintaining all security compliance for the portfolio.
Proactively monitoring, and staying in front of expiries (6-months in advance). Preparing agreements in coordination with Contracts Team before they expire.
Providing administrative support to the greater operations team including the Director, Operations in Calgary.
Liaise with Tenant Service Coordinator on work orders through the Angus Anywhere system and inform Director, Operations, on gaps and unattended deficiencies.
Processing Tenant Inducements and allowances in a timely and efficient manner.
Training, mentoring and elevating the skill set of the Edmonton Property Administrators. Taking an active roll to be the Subject Matter Expert and be the direct contact for accounting, asset management, leasing, and leadership as needed.
Preparing Triovest fee invoice packages and sending to Corporate for invoicing. Build solid relationship with the Corporate Controller to ensure a positive working relationship.
Maintaining the CAPEX spreadsheet to the highest standards in an articulate and sophisticated manner.
Being the Property Manager’s quarter back and assist with quarterly reports and annual plans by reviewing the report to ensure it is error-free before it goes out to senior leaders.

To fulfill this role successfully, you should demonstrate the following minimum qualifications:
A College diploma in a related field.
Five (5) years minimum experience in property management administration and/or commercial real estate property accounting.
A real estate license in property management.
Proficiency in Microsoft Office and Yardi is a must.
Extended working hours may be necessary from time to time; a positive can-do attitude is required.
