Purpose of the Role

The Executive Assistant will be expected to organize and expedite the flow of projects and work through the Group Head and National Director, Practice Management office.

Key Responsibilities

The key responsibilities of this role are:
Prepare documents with minimal direction, according to general precedents
Prepare Excel and other reports including gathering and summarizing data
Prepare Power Point presentations
Draft and/or prepare correspondence of a highly confidential nature
Complete administrative and clerical work as required
Establish and maintain digital filing system
Act as liaison between the Principals and various internal and external individuals at all levels
Recognize problems and abnormalities, and exercise judgment to resolve
Exercise initiative and judgment to relieve the Principals of administrative work
On occasion, may attend confidential meetings and prepares minutes
Plan Principals' schedules and organize all travel arrangements
Other duties as assigned
Key Competencies
8 or more years of executive level administrative assistant experience in a legal or professional services environment
Bilingual in English and French, both verbal and written, is considered an asset
Excellent ability to be flexible and juggle multiple priorities in a demanding, high-pressured environment
Advanced level of skills and proficiency in MSWord, Excel, Outlook and Power Point
Excellent keyboard, dicta and proofreading skills
Excellent grammar, spelling and punctuation skills
Unquestionable ability to maintain confidentiality at all times and to work with sensitive and confidential information
Excellent interpersonal skills, including the ability to be politically sensitive and tactful
Exceptional organizational skills
Ability to pay attention to details and consistently produce a highly accurate work product
Ability to anticipate next steps required in work processes and tasks
