About this Job:
We are seeking a highly motivated and skilled individual to assist in the full operation of the Mortgage Administration in the Toronto Office located in Toronto, ON.

The position performs all aspects of mortgage administration within the regional office; arranges for all required documentation and funding of loans administered by the office and assists in the day-to-day administration of those loans. Accurate data entry for assumptions, new loans and renewals. General file maintenance. Written and verbal communication with internal and external contacts. Assists with monthly departmental reporting. Responds to requests and prepares various loan statements. Cross training to assist the Underwriting Assistant during peak times and holiday periods.

Job specific skills:
New Loans:
Mortgage Data input for new clients, new loans, modifications, renewals, new loans, banking information
Ensure all mortgage reports and related documents; insurance review, prefunding conditions, financials are accurate and reflect all terms and conditions detailed in the Loan Summary, and commitment letter and are received in a timely manner
Instruct FCT and the Solicitors, and review draft documents
Calculate and process mortgage advances for conventional single advance, high ratio loans (if applicable), ensuring all requirements are met prior to funding. Requisition mortgage funds within established policy. Mortgage file management, including filing, completing of checklists, and scanning of documents for Head Office, ensuring Head Office has required documentation two days prior to funding date of loan
Check with law society for entitlement of solicitor
Check information to ensure accuracy
Prepare and send applicable instructional package to FCT for the solicitor along with relevant documents
Follow up with FCT to obtain advance request
Check the request for funds from FCT or solicitor
Send the mortgage advance to the Portfolio Services team
Send FCT or solicitor a list of outstanding conditions, mortgage commitment and mortgage advance breakdown
Follow up with FCT or solicitor prior to closing
Contact FCT or solicitor to advise that funds can be released
Ensure that all conditions have been met, all documentation has been received and that file is complete on the day of closing
Close files in the Rubi system
Review solicitor mortgage documentation to ensure it corresponds to the terms of the commitment and is in compliance with established regulatory and company guidelines and policies
Escalate any documentation issues to the Underwriter and/or Manager for review
Coordinate with Portfolio Services team for the release of mortgage funds on a timely basis
Respond to all inquiries within the established turnaround times
Adhere to policy/procedures to ensure AML and Quality Assurance requirements are met
Liaise with various internal departments, as well as external; clients, FCT, solicitors, service partners & mortgage brokers regarding ongoing payments, security matters, insurance and prefunding reporting requirements
Responsible for maintaining a working knowledge of the Mortgage policies and procedures on the Portal, company policies and procedures

Renewals:
After approval and acceptance of renewal, deposit of any fees and/or preparation of journal entries. If necessary, instructions to lawyers for modification of mortgage

Deposits and Transaction Postings:
Preparation of daily deposit posting sheets, cheque requisitions and transaction postings, broker fees and completion of daily bank deposits
