Shared Health leads the planning and coordinates the integration of patient-centred clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
Reporting to the Administrative Assistant IV, Facility Management, the incumbent is responsible for the effective, efficient provision of secretarial, payroll and personnel support for the Supervisors and Support Staff of Maintenance Services. Duties include, typing routine correspondence, minutes, memoranda, interview material and meeting minutes. Responsible for payroll data entry in SAP or ESP and other payroll related issues including payment of meals and miles, payment of annual shoe allowance and correction notices. In conjunction with the Administrative Assistant IV, processes departmental employee changes including employee files and related paperwork. Processes correspondence (either by telephone or in person) from the public and other HSC Staff members, directing same to the correct person/Department.
One year previous related experience required, preferably in a hospital setting.
Complete high school education, Manitoba standards, required.
Successful completion of a recognized secretarial training program required.
A combination of education and experience will be considered.
Qualifications and Skills
Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
Typing 60 wpm and demonstrated proficiency in the use of Microsoft Office (Word, Excel,) required.
Knowledge of SAP preferred.
Arithmetic competence for cash control and record keeping required.
Knowledge of database entry preferred.
Knowledge of Health Sciences Centre personnel and payroll procedures as well as some knowledge of the O.E.M. and C.U.P.E. contracts related to employee benefits is an asset.
Must have excellent telephone manner and the ability to receive and relay precise messages.
Must be able to function well with frequent interruptions. Must have excellent organizational, interpersonal and communication skills.
