We are looking for an Executive Assistant to join our Corporate Headquarters located in Toronto, Ontario.

Reporting To: President & CEO

Job Type: Full Time/ Permanent

Work hours: Regular work hours Monday to Friday

Duties and Responsibilities:

  • Assisting the CEO in communication and business correspondence like drafting letters, emails, legal documents etc.
  • Communicating with key stakeholders.
  • Custodian of Confidential records.
  • Arranging travel and hotel accommodation for CEO and other Senior Management staff.
  • Scheduling and coordinating meetings, interviews, events, social gatherings, holiday parties and other similar activities.
  • Preparing meeting minutes, meeting notes and internal support materials like feedback forms.
  • Coordinating between departments in resolving day-to-day administrative and operational problems for CEO.
  • Supporting various departments with administrative duties and ad hoc projects including but not limited to Human Resources, Accounting/Finance and Corporate Initiatives as assigned.

Qualifications& Knowledge:

  • 2-5 years of related experience.
  • Bachelor’s Degree in business management or related field.
  • Willing to work evenings and on weekends if required.
  • Good command of the English language, excellent communication, organizational and interpersonal skills is a must.
  • Ability to work independently.
  • Problem-solving and critical thinking skills.
  • Attention to detail is a must.
  • Professionalism and strong sense of confidentiality.
