Your Opportunity:
This rarely available opportunity allows the Administrative Support IV - Administrative Assistant to work in a highly professional, collaborative, and significantly evolving Department, that has recently set its goal on becoming one of, if not the, most successful and collegial OBS/GYN Department’s within the country. This position will enable the Administrative Assistant (AA) to make a real and substantial difference in the lives of patients. The AA is responsible for ensuring the efficient and effective operation of the respective physicians' office (including related to some direct patient care matters) and project activities for the assigned physicians (more than one) who are also members of the Faculty of Medicine. The AA supports the administrative activities related to clinic and leadership roles. The AA must work well within a team environment, and understand the purpose, and goals of the team and have the ability to bring forward ideas to assist the team. Using their experience and skill, the AA will be expected to work independently exercising decision-making where the impact of error could be very high. The AA supports physicians and nurse staff, and reports directly to the Zone Manager of the Department of Obstetrics & Gynaecology. Applicants that pay very close attention to detail and value the significance of their role within the organization, and hold themselves to a very high level of professionalism will excel within this position. General duties include: greeting patients, booking patient appointments, handling referrals, arranging patient surgeries, updating and maintaining patient medical records and communicating with other physician’s offices to obtain patient information. The AA will also maintain surgeon’s schedules and other duties as requested by the surgeons.

Required Qualifications:
Completion of post-secondary education (e.g. course(s) in office of business administration, medical office assistant).

Additional Required Qualifications:
3 years in a health care setting, preferable a hospital or university setting. Combination of experience and education will be considered. Must be fully proficient in Microsoft Word, and Excel, PowerPoint, Access, Netscape Mail/Calendar as well as flow charting and graphics programs (e.g. Microsoft Visio). Team focused, can do, professional attitude with the demonstrated ability to produce continuous results with minimal to no errors. Ability to stay focused on the significant importance of the job. Ability to work independently and excel with minimal direct supervision. Demonstrated independent initiative and judgment. Demonstrated interpersonal, organizational and time management skills. Demonstrated communication skills, including telephone skills. Operational and general maintenance knowledge of office equipment. Additional duties include, arranging medical exams for procedures including, but not limited to MRI, ultrasounds and CT scans, maintaining the physician’s schedules/calendars, booking meetings, booking rooms and arranging catering if needed. The Administrative Assistant will attend meetings to record minutes, transcribe when needed, photocopy, courier, mail and ensure supplies are well stocked and ordered as appropriate.

Preferred Qualifications:
Medical Terminology (Intermediate Level) preferred. University degree will also be considered a strong asset. Excellent typing skills. 70-80 wpm. Ability to work with frequent interruptions, prioritize and respond to changing needs.
