The Turnaround Administrative Assistant provides administrative support to the Turnaround Management Team.
What you will do:
Create, organize, and support TA and project work package filing system
SAP support and training
Manage invoicing corrections and work directly with Purchasing and Warehouse
Develop and update turnaround manuals
Vendor head count and tracking during turnaround
Develop or proof memorandums and communicate to site
Schedule and coordinate meetings as necessary
Process incoming/outgoing mail daily
Purchase office supplies
Verify and manage vendor invoicing, monitor project cost and planner efficiencies
Complete weekly reports timely and accurately
Perform other duties as assigned
Creates and maintains necessary tracking/coordination spreadsheets
Schedules department events, conference facilities, daily/weekly/monthly department meetings
Prepares meeting agendas and takes meeting minutes
What you will bring:
Must have high school diploma
6 or more years of administrative assistant experience in a construction environment
Excellence in communications; both written and verbal
Proficient in SAP, P6, Word, Visio, and EXCEL
Ability to exercise good judgement in a variety of situations
Strong written and verbal communication, administrative, and organizational skills
Ability to maintain a realistic balance among multiple priorities
Ability to work independently on projects, from conception to completion
Manage a wide variety of activities and confidential matters with discretion
