Company description: C.I. Analytics designs and manufactures analyzers for the Petro-Chemical industry. We ensure environmental compliance (quality control) and protection of customer assets by alarm set-points.

CI Analytics is currently looking for a professional, detail-oriented individual to perform a variety of administrative and accounting tasks. The administrative assistant role includes but not limited to support the accounting and operation team in various tasks.


  • Manage workflow by preparing and providing different types of documents (i.e. Shipping, customs, package preparation (production support);
  • Work in synergy with the other members of the team;
  • Be required to learn the enterprise resource planning software (ERP);
  • Communicate, mostly in English, with the customers and suppliers;
  • Proactively monitor and maintain daily operations;
  • Assist accounting when required with bookkeeping and budgeting;
  • Answer inquiries from customers and sales representatives in regard to customers’ accounts and order processing and tracking;
  • Assist the operation/production team to prepare, follow up and process orders and RMAs:
  • Assist the accounting team to process payments using company’s ERP system and web credentials;
  • Assist in Marketing;
  • Manage email requests and requirements, maintain CRM (follow-up on new requests & statuses, update customer files, maintain customer info;
  • Have a good knowledge of the Company’s policies and programs to provide support to the team;
  • Be implicated in the budget and manage office supplies inventory;
  • Reorganize workable space;
  • Reorganize server folders;
  • Manage office supplies and organize kitchen and storage room liaise with cleaning company.
  • Coordinate various meeting and maintain and enter minutes (of meetings) on server.
  • Manage flight and hotel details, prepare itineraries;
  • Update our corporate website;
  • Work on special projects when assigned.
  • Working knowledge of office equipment (printers/faxes/package sealer/cutters)


  • DEC degree in business administration or equivalent (collegial diploma in office technology or secretarial art);
  • Fluent in English;
  • Knowledge in intermediate accounting an asset;
  • Knowledge of ADOBE suite (Photoshop, illustrator) an asset;
  • Excellent writing abilities

Les tâches administratives incluront, sans toutefois s'y limiter, les tâches suivantes: répondre aux demandes diverses et les suivre (informations téléphoniques, fax et e-mail), passer des commandes avec nos fournisseurs, , préparation des soumissions pour les clients, traitement des commandes clients, assurer l’expédition des commandes clients (emballage, préparation des boîtes et des caisses, étiquetage, travaux légers, préparation des documents d’expédition et des documents douaniers), aide à la production, réservations de voyages d’affaire des employés, procès-verbaux, toutes les autres tâches administratives connexes.

Niveau d'éducation: Diplôme d'études secondaires complété.

Années d'expérience professionnelle: 1 à 3 années d'expérience.
