The Department of English is committed to the symbiotic relationship of teaching, research and the larger concerns of society. Dedicated members of the department contribute to the teaching of interdisciplinary programs at both the undergraduate level and the graduate level, as well as bringing their interdisciplinary interests to their English courses. Reporting to the Department Manager, the Department Assistant provides program and general administrative support to the department. The incumbent supports the Graduate Administrator and Graduate Assistant in the administration of the Graduate Program including assisting with admissions, phone, email, in-person inquiries, course related, event logistic and graduation activities. The incumbent supports the Communications and Alumni Officer in the administration of the Teaching Assistantship and Course instructorship programs. The Department Assistant also provides general administrative support to the Department.
Your responsibilities will include:
Maintaining information on digital platforms
Providing routine information
Booking rooms and arranging appropriate accommodations
Tracking and monitoring student course enrollments
Creating and updating job postings in the database
Preparing draft correspondence using templates
College Diploma (2 years) or acceptable combination of equivalent experience.
Minimum two years' recent and relevant experience working in an administrative customer service oriented environment.
Experience in supporting TAship processes (e.g. hiring, posting, drafting letters, and payroll).
Experience applying collective agreements to processes.
Experience working with an online course management and registration system.
Experience working with ROSI/ACORN or similar type of database.
Experience with HRIS and processing payroll.
Experience working with a content management system.
Experience working with policies, procedures, collective agreements, and applicable legislated requirements and keeping informed of changes.
Advanced Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) skills.
Strong customer service skills.
Excellent interpersonal skills.
Excellent oral and written communication skills.
Strong organizational and multitasking skills.
Demonstrated skills in attention to detail and ensuring accuracy of work.
Ability to effectively handle multiple priorities including the ability to meet deadlines while continuing to work on daily tasks.
Understanding of University guidelines and procedures is an asset.
Experience with Blackboard or Quercus is an asset.
