Job Summary

Professional and organized administration functions are key in delivering excellence with Arrow Leadership’s Programs. As Program Administrator, you will perform a wide range of administrative duties for the Program Director and work collaboratively with the administration team to ensure the exceptional and timely execution of Arrow Programs.

The scope of Arrow Leadership Programs requires sensitivity to diverse cultures and significant relationships. Confidentiality is expected and confirmed through Arrow’s Confidentiality Agreement by all Arrow staff.

Main Job Tasks and Responsibilities

As Program Administrator you will work collaboratively with the Director of Programs and Director of Operations and be responsible to plan, implement, manage and evaluate the systems and processes for exceptional and timely execution of Arrow Programs, including:

Planning

  • Program class schedules, calendars, and events
  • Developing sustainable systems for the scalability of Arrow programs
  • Bookings and reservations
  • Preparation and delivery of program on-sites and summits

Coordinating

  • High awareness of delivery goals and ability to delegate effectively
  • Document formatting, production, and distribution
  • Communications to all program constituents
  • Program information, communication, and assignments on the Learning Management System

Managing

  • Program calendar and events
  • Program budgets and resources for excellent stewardship
  • Management and storage of program and media files
  • Communication systems and processes

Implementing

  • Professional and competent administration of Arrow Programs
  • Travel and provide on-site program administration support for 4-6 weeks per year
  • Provide technical assistance with virtual meetings, learning calls and webinars
  • Foster a positive and collaborative work environment that is supportive and helpful

Evaluating

  • Monitoring the sustainability of systems for the Arrow programs
  • Review and feedback for necessary changes and adaptions with programs, specifically with administration systems and support
  • Receiving and evaluating on-site feedback for the discernment of areas for improvement

Collaborating

  • Excellent interpersonal relations with leaders, faculty, vendors, volunteers and Arrow staff
  • Exceptional partnership with the Director of Programs and other program team members
  • Ability to assess and delegate effectively to foster positive collaboration in workflow

  • Familiar with all aspects of the Arrow Leadership Program
  • Excellent interpersonal relational skills

  • Exceptional computer skills and proven technical proficiency

  • Ability to travel

Job Type: Full-time

Salary: $18.00 to $22.00 /hour
