Reporting directly to the Regional Project Manager, the Regional Administrator will provide ongoing administrative support in enhancing operational efficiencies and customer service at the Regional airports that consist of working with two (2) Directors of Operations, seven (7) Regional Managers, twenty eight (28) Regional Service Delivery Managers and 500 Screening Officers. The role entails data collection and management, report generation, in addition to general administrative responsibilities. The position also works with Regional Managers by supporting various projects, initiatives, and systems.
In addition, the Regional Administrator will provide administrative support at YYJ (Victoria Airport) and may also provide operational support when deemed necessary.
Responsibilities include, but not limited to:
Provide the Regional Operations Management team with ongoing administrative support, tools and knowledge to effectively manage their operations
Assist in developing and maintaining report mechanisms and systems that are relevant and easily accessible to the operation; provide training and guidance to the Regional Service Delivery Managers on how to use reporting tools and assist them on resolving day-to-day administrative issues.
Work with various departments to gather information/data as needed to generate analysis reports.
Maintain, compile, and streamline information training records and other relevant information.
Coordinate Trainer schedules with Regional Managers and make related travel and accommodation arrangements.
Prepare weekly reports.
Provide ongoing administrative support.
Assist the Health and Safety Advisor on regional matters when needed.
Plan and coordinate regional meetings, on or off site, including logistics, and venues.
Perform general administrative duties as required (filing, photocopying, couriers, office facilities, etc.)
Participate in special projects as needed.
Regional Project Manager may delegate to the RA to arrange and coordinate travel including flights, hotel accommodations and per diems for all regional staff.
Perform administrative tasks that support Regional and local operations such as, but not limited to scheduling, payroll, uniform ordering, and distribution, records and file management, ordering CATSA consumables for the site etc.
Ensure proper time and tracking attendance.
Build and maintain strong relationships with assigned business area.
Gather, prepare, and submit progress reports to our client, CATSA, from the Recurrent Learning Program to the Directors of Operations, Regional Managers and Regional Service Delivery Managers.
Update and maintain the CATSA performance trackers and distribute operational procedural changes and briefings and TC clearance notices to all regional sites.
Implement Regional training requirements as directed by the Regional Project Manager.

The Ideal Candidate:
Education, Experience and Skills
Minimum two years of administrative experience preferably in aviation security or a federally-regulated organization.
Experience providing administrative support to senior management is an asset.
Eligible to obtain and maintain the required appropriate level of Federal and Transport Canada Clearance.
Efficiency in oral and written communication
Intermediate to advanced level user of MS Office applications
Proficiency in Google applications
